Digital Generation specialises in providing ICT lifecycle management solutions for their clients. But how do they leverage cutting-edge technology within their operations? Let’s find out.
Company Background
Digital Generation, in business since 1999, has 200 employees and operates multiple warehouses and logistics facilities across South Africa.
Partnering with major technology brands, they offer a comprehensive range of products and solutions from desktops to data centers.
Digital Generation faced significant operational inefficiencies due to a patchwork of business applications, which led to data duplication, integration barriers, and time-consuming reporting processes. The need for a robust, streamlined business management solution was clear.
A Move to Sage X3 ERP
Digital Generation selected Sage X3 ERP for its rich warehouse management functionality and the promise of improved reporting through centralised data management. Following the Sage X3 implementation, the business achieved a simpler system landscape and numerous operational benefits.
Improved Reporting
Setting up comprehensive and accurate reporting required rigorous testing to ensure
core data integrity. The hard work paid off – reports are now generated automatically,
saving many hours and significantly increasing efficiency.
Zakiya Mohamed, Digital Transformation Officer at Digital Generation said,
“We went from a company where employees spent many hours building reports, to now, automated reports are delivered to our inbox in the morning. It changed how the business operates, bringing efficiency back. Managers can now focus on analysing business performance.”
Digital Generation leverages Sage Enterprise Intelligence (SEI) to consolidate different types of information. SEI is a powerful tool that provides many prebuilt views, reports and dashboards for analysis. SynergERP also created several detailed reports for Digital Generation such as the Stock Aging Report which gives enhanced visibility into inventory dynamics
Dashboards for Business Overview
Sage X3 dashboards provide immediate visibility into business operations, facilitating better control and more informed decision-making.
“The visibility that dashboards brought back into the business had an immediate impact.
Our stock management is quite complex, and dashboards provide the team with an overview and
the ability to drill down into the detail,” said Mohamed.
The SynergAutomate tools were used to implement several key optimisations.
- Bank Automation
Automating the integration of bank statements from Digital Generation’s bank accounts directly into Sage X3, allows for seamless transaction recording within the system. - Portals
– A vendor portal simplifies supplier interactions by integrating vendor-related operations with Sage X3.
– The customer data form empowers customers to update their data seamlessly, automatically reflecting updates in the system. - Actionable Emails
Custom email workflows allow both system and non-system users to approve or decline transactions originating in Sage X3. - System Integration
OrderEazi, Digital Generation’s e-commerce platform, was integrated with Sage X3 to enable smooth data exchanges and improved operational velocity.
Document Management with Capisol
Capisol, a cloud-based solution, was introduced to handle document management, automating and simplifying the delivery of documents to customers and suppliers. The application integrates seamlessly with Sage X3, and documents are securely archived in the Cloud.
Change Management
A smooth software transition requires more than a planned deployment. Digital Generation invested heavily in creative strategies to ensure employee buy-in. Team building activities and introducing ‘DG superheroes’ fostered excitement and ownership of the software project. Employee involvement from the start ensured familiarity with Sage X3 at go-live and adoption of the new system across the organisation.
Project Success
The Sage X3 project was hailed as a resounding success due to several critical factors.
By opting for conservative software customisation, Digital Generation was able to provide a robust technology platform and uninterrupted business support. Early involvement of the end-users fostered excitement and ensured a highly engaged workforce. Furthermore, the transition process was so well-orchestrated that external partners experienced no disruptions, highlighting the success of the implementation project.
A supplier told me they hadn’t noticed that we changed systems, which was a big win for the project – the new system didn’t impact delivery to our ecosystem.”
